i have to convert the manual system of letters received and dispatch records to computer system.The table structures are given below

Receiving register
Unique number	Date of receiving 	Company name	Place 	Subject
				

Dispatch register


Unique Num  Reply Date  Company Name  Subject   Remarks	 Cost   Mode of Sending 	


Should I make it in simple excel or any software can be made regarding this?
i want to search data on the basis of subject of letter
